LEGAL
Privacy Policy
How this website handles personal information and the choices available to you.
1. Who we are
This notice explains how Machine Minds Technologies handles personal information when you use this website or contact us through it.
[LEGAL REVIEW REQUIRED: Insert the full legal entity/controller or business identity, registered or principal business address, registration details if applicable, and jurisdiction.]
2. Information you provide to us
We may receive information you choose to provide, including your name, work email address, company, role, website, project or service interest, timeline, budget range and the content of messages you submit. A Data Privacy Request may also include your relationship to us, request type and details needed to understand the request.
Please do not submit sensitive personal information unless it is necessary for the purpose of your request and you are authorized to provide it.
3. Contact forms and enquiries
Contact-form information is used to understand and respond to enquiries, communicate about potential or existing work, protect the site from abuse and maintain appropriate business records. Form submissions are sent through our configured email infrastructure and are not intentionally written to public website logs.
4. Server, security and technical logs
Our hosting, security and network providers may process technical information such as IP address, request time, requested URL, browser or device information, response status and security signals. We use these records to operate, secure, troubleshoot and protect the website.
[LEGAL REVIEW REQUIRED: Confirm the actual hosting/security log fields and retention periods with the production providers.]
5. Cookies and consent choices
The site uses necessary storage for core operation and for remembering your consent choice. Optional Analytics, Functionality and Marketing categories are disabled in the Machine Minds consent settings unless you grant them. See our Cookie Policy for more detail and to understand how to change your choices.
6. Analytics
If you grant Analytics consent, the site may use Google Analytics 4 (GA4) to understand website usage and performance. The current implementation initializes Google Consent Mode with optional storage denied by default and does not enable Google advertising signals. Analytics events are designed not to include form-message content, names, email addresses, phone numbers or other obvious personal identifiers.
[LEGAL REVIEW REQUIRED: Confirm Google Analytics configuration, regional data controls, retention and any controller/processor terms before publication.]
7. Chat provider
If you grant Functionality consent and use live chat, the site may load tawk.to as the launch chat provider. The provider may process information required to operate the conversation and any information you choose to provide in chat. Do not include sensitive information unless necessary.
[LEGAL REVIEW REQUIRED: Confirm tawk.to account configuration, retention, subprocessors, transfer mechanism and final provider privacy wording.]
8. Why we process information
Depending on the context and applicable law, processing may rely on one or more lawful bases, such as taking steps at your request before entering a contract, performing a contract, complying with legal obligations, our legitimate interests in operating and securing the site and responding to business enquiries, or consent where consent is requested.
[LEGAL REVIEW REQUIRED: Counsel must confirm the lawful basis used for each actual processing purpose and jurisdiction.]
9. Retention
We aim to keep personal information only for as long as needed for the purpose for which it was collected, legitimate business recordkeeping, security, dispute handling and legal or regulatory requirements.
[LEGAL REVIEW REQUIRED: Insert approved retention periods or retention criteria for enquiries, privacy requests, analytics, chat and server/security logs.]
10. Recipients and service providers
Information may be processed by service providers that support hosting, security, email delivery, analytics, chat, website operations and professional services, subject to the purpose and configuration in use.
[LEGAL REVIEW REQUIRED: Insert or link the approved processor/subprocessor list if required.]
11. International transfers
Some service providers may process information in countries other than the country where you are located. Where applicable law requires safeguards for international transfers, appropriate mechanisms should be used.
[LEGAL REVIEW REQUIRED: Counsel must confirm actual transfer locations and applicable safeguards, such as adequacy decisions, contractual clauses or other approved mechanisms.]
12. Security
We use technical and organizational measures intended to protect information against unauthorized access, alteration, disclosure or loss. No internet transmission or storage method can be guaranteed completely secure.
Public forms use anti-abuse controls including a nonce, server-side Cloudflare Turnstile verification and rate limiting where configured.
13. Your privacy rights
Depending on your location and applicable law, you may have rights to request access to personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing, and portability of information in an applicable format. You may also be able to withdraw consent at any time where processing is based on consent. Withdrawal does not necessarily affect processing already carried out lawfully before withdrawal.
You can submit an applicable request through the Data Privacy Request page.
14. Complaints
You may have the right to complain to a data protection or privacy regulator in your jurisdiction. We encourage you to contact us first so we can understand the concern.
[LEGAL REVIEW REQUIRED: Add the appropriate supervisory-authority details or jurisdiction-specific guidance if required.]
15. Children
This business website is not directed to children. We do not intentionally design the site to collect personal information from children.
[LEGAL REVIEW REQUIRED: Counsel should confirm the applicable age threshold and any required jurisdiction-specific language.]
16. Changes to this policy
We may update this Privacy Policy when our practices, providers, legal requirements or website features change. The published version should show an effective or last-updated date when approved.
